Terms of Hire
The conditions of this agreement apply to all users of the Hahei Community Hall.
Use
The Hahei Hall may be hired for meetings, function, stalls, various entertainments and community groups.
Hire Obligation
The hirer must read, understand and sign this agreement prior to paying the charges and bond of the hall hire. If hired on a Saturday night, the hall must be cleaned and vacated by 12pm the following day (Sunday).
Bond
A general bond of $150 is to be lodged prior to a function/event where food and alcohol is supplied. Weddings will be charged a bond of $500. The bonds are fully refunded to the hirer provided all conditions of hire have been adhered to. Local community Groups with regular bookings and non-profit organisations are not required to pay a bond but must agree to all other conditions of hire where applicable.
Age of Hirer
All persons hiring the hall must be over the age of 20 years, except in the case of a 21st party, where a parent or responsible person must sign the Terms and Conditions of Hire form. The hall will only be hired for a 21st party if the hirer lives within the Mercury Bay District.
Fire Exit Door Checks
The hirer must ensure that the Fire Exits are kept clear at all times.
Smokefree
Smoking is not permitted inside any part of the building or outside the entrance or surrounding grounds.
Sale of Alcohol
The person/organisation hiring the hall is responsible for obtaining the necessary alcohol licences from the Thames Coromandel District Council.
Noise and Annoyance
The person hiring the hall must ensure that the noise level is kept to a minimum as not to cause annoyance to local residents. Noise levels must comply with the provisions of this hire. All music must be shut down by 12 am.
Responsibilities
It is the responsibility of the hirer to make sure that the hall and facilities are left in a tidy and clean condition as follows:
All food scraps and rubbish are taken away and disposed of appropriately.
All crockery and cutlery are placed back in kitchen drawers/cupboards
Clean kitchen after use and empty dishwasher.
If using the refrigerator, clean and dispose of any food not used, outdated milk and supplies
Empty Rubbish bins in kitchen and toilets.
Toilets are left clean.
If using chairs and tables, please stack chairs and tables back in Hall storeroom.
Ensure the floor is swept and washed.
Advise if toilet rolls, hand towels, soap are running low.
Turn off all lights.
Turn off all heat pumps/air conditioning.
Make sure all windows and doors are locked on exit.
Ensure that you leave the hall and surrounding areas clean and tidy.
Report all breakages and damage.
If you are unable to meet these requirements, please contact hahei.hall@gmail.com so that arrangements can be made for cleaning. An additional cleaning charge will be included in the hire charge.
